TITLE: DEPUTY CLERK
SUPERVISOR: City Clerk
CLASSIFICATION: HOURLY; EXEMPT; FULL-TIME (40 HRS/WK); OVERTIME AS REQUIRED
SCOPE OF WORK
The chief duty of the Deputy Clerk is to record the public business of the city, keeping detailed records conscientiously and accurately for future reference and for the information of the citizens of the community. The individual in this position shall establish good recordkeeping habits and demonstrate a general knowledge of financial procedures and modern office management practices. The Deputy Clerk maintains a cooperative working relationship with city officials, employees, and the public
MINIMUM REQUIREMENTS:
Individual must be qualified under the laws of the State of Missouri under Chapter 77 of the Revised Statutes of Missouri. Residency require within limits of the city of Fayette within 90 days of employment unless waived by the Mayor and Board of Aldermen
ESSENTIAL DUTIES AND RESPONSIBILITIES
THE DEPUTY CLERK SHALL:
1) Process payroll, vendor checks, transfer checks, and required reports 2) Manage payroll system by updating and maintaining employee records
- Create new employee records
- Assist the City Clerk with audit preparations
- Assist the City Clerk with bank reconciliations
- Authenticate and record all ordinances and resolutions, and codify (online platform)
- Establish filing dates, publish notifications, receive candidate filing petitions and verify candidacy requirements for all City elections
- Perform filing and record keeping duties
- Process accounts payable
- Process bank deposits
- Update and maintain the City’s social media presence to include Facebook, Twitter, Instagram, and YouTube.
- Administer email accounts assigned to the City’s URL
- Assist the City Clerk assure the preparation of all annual budgets
- With the City Clerk supervise the preparation of all bid specifications for services and equipment and received sealed bids for presentation to the Board of Aldermen
- Assist the City Clerk prepare Board packets
- Post committee meetings in a timely manner at City Hall and all social media platforms
- Prepare correspondence for the Mayor and Board of Aldermen
- Serve as initial contact between citizens or business interests making inquiries with the city.
- Handle all vouchering of bills
- Maintain record of all contracts and correspondence to the City
- Attempt to attend all meetings of the Board of Aldermen and work in closely with all city boards, committees, and commissions. Keep and maintain the minutes of all board proceedings
- Other duties as assigned
MUNICIPAL POOL LIFEGUARDS
The City of Fayette, Missouri is accepting applications for the positions of Municipal Pool Lifeguards in its Department of Streets & Parks. These positions require certification from the American Red Cross or the National Pool and Waterpark Lifeguard Training Program. Duties include: lifeguard activities and pool safety. These positions are seasonal from May 2022 through August 2022. Applications are available in the City Clerk’s Office, 117 S. Main Street, Fayette, MO 65248.
